CATAG UK Ltd (“we”, “us”, “our”) is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains how we collect, use, store, and share your information when you interact with our website, book CATAG events, subscribe to marketing, complete feedback forms, or apply to become a Game Master.

This Privacy Policy applies only to the services operated by CATAG UK Ltd.
It does not apply to the CATAG mobile app owned and operated by the developers/licensors of the CATAG platform. Their separate privacy policy applies to app usage.

For the purposes of UK GDPR, CATAG UK Ltd is the Data Controller for all personal data collected through:

  • Our website

  • Our booking and payment systems

  • Customer communications

  • Marketing and newsletter subscriptions

  • Feedback forms

  • GM recruitment and onboarding

  • Operational management of CATAG UK events

The CATAG app and associated app-user data are controlled by the developers/licensors (Catag AG or equivalent) under their separate privacy policy.

We collect different categories of personal data depending on how you use our services.

 

2.1 When You Visit Our Website

  • Device information

  • Cookies and tracking data (see section 10)

Used for: security, analytics, website improvement.

 

2.2 When You Book a Game

  • Full name

  • Email address

  • Mobile number

  • City/region

  • Booking details (date, time, number of players)

  • Payment details (processed securely by Stripe; we do not store card numbers)

Used for: managing your booking, sending updates, safety notifications, and post-event follow-up.

 

2.3 When You Participate in a Game

  • Emergency contact information (optional)

  • Safety-related information you provide

  • Feedback or incident information sent after the event

Used for: safety, insurance, service improvement.

 

2.4 When You Subscribe to Marketing

  • Email address

  • Marketing preferences

Used for: sending newsletters and promotional content.

 

2.5 When You Apply to Become a Game Master (GM)

  • Name

  • Email

  • Mobile number

  • City / travel radius

  • Availability

  • Experience and suitability answers

  • Discord username

  • Application status

  • Training and performance records (once onboarded)

Used for: recruitment, onboarding, scheduling, and operational management.

 

2.6 When You Contact Us

Any information you voluntarily provide in emails, forms, or messages.

 

3. How We Use Your Data

We use your data for the following lawful purposes:

 

3.1 To fulfil a contract (Article 6(1)(b))

  • Processing your game booking

  • Sending confirmations, reminders, and event instructions

  • Managing event operations

  • Responding to enquiries

  • Paying Game Masters

 

3.2 Legitimate interests (Article 6(1)(f))

  • Ensuring safety at events

  • Tracking incidents for insurance and risk management

  • Improving our services

  • Analysing booking demand and city popularity

  • Preventing unauthorised commercial use of the CATAG brand

  • Operating our internal systems (Discord, Airtable, n8n, email)

 

3.3 Consent (Article 6(1)(a))

  • Email marketing

  • Optional surveys and feedback forms

4. The CATAG App

The CATAG mobile app is operated and controlled by the developers/licensors of CATAG (Catag AG or equivalent), not CATAG UK Ltd.

  • They control all app-user data

  • They define how photos, game interactions, and app analytics data are processed

  • Their privacy policy governs app use and in-game activity

CATAG UK does not access or control personal data collected by the app, except:

  • anonymised or GM-specific data provided to detect unauthorised commercial activity (as allowed under the UK MoU)

 

5. Sharing Your Data

We only share your data when necessary and lawful.

 

5.1 Service Providers

We use secure third-party providers for:

  • Payment processing (Stripe)

  • Email (Google Workspace)

  • Automation (n8n)

  • Data storage and operational management (Airtable)

  • Website hosting (Wix)

  • Discord communications

These providers act as Data Processors under UK GDPR.

 

5.2 Safety & Insurance

If an incident occurs, we may share details with:

  • Our insurance providers

  • Emergency services (if required)

 

5.3 Developers of CATAG (App Licensor)

We may share:

  • Anonymised GM data

  • Event-level metadata

  • Non-personal operational insights

Only for the purposes of detecting unauthorised commercial activity or improving the game experience.

 

5.4 Legal or Compliance Requirements

We may share data if required to:

  • Comply with UK law

  • Respond to lawful requests

  • Defend legal claims

 

6. How Long We Keep Your Data

We retain data only as long as necessary:

  • Booking records: 6 years (tax and audit requirement)

  • Incident reports: 7 years (insurance purposes)

  • Marketing data: until you unsubscribe

  • GM records: for the duration of engagement + 6 years

  • Website analytics: typically 12–36 months

You may request deletion at any time where lawful.
